ChatGPT prompts for small business: the 5-part formula

ChatGPT prompts for small business work when you give the tool five things: a role, context, a task, a format and a tone. Below are 30 copy-paste prompts for Saudi teams in six groups, for ChatGPT, Gemini, Claude or Copilot, though each tool's features and prices change often. The Arabic version of this page has them in Arabic.

Fill in the «…» placeholders with your own details, and build any new prompt on this formula:

  • Role: who is speaking? For example, «You are a collections officer at a Saudi company».
  • Context: what does the tool need to know? Your trade, city, target customer and the key number.
  • Task: one clear verb: write, summarise, check or compare.
  • Format: a WhatsApp message, a table, three options or a word limit.
  • Tone: formal, friendly in Saudi white dialect, or firm without threats.

Three examples show the difference between a weak prompt and a strong one:

  • Weak: Write a post about my restaurant.
  • Strong: You are a content writer in Jeddah. Our restaurant «name» has launched a family breakfast menu. Write 3 Instagram captions in light Hijazi dialect, each under 25 words, with 3 hashtags and one call to book.
  • Weak: Summarise this report.
  • Strong: You are a management adviser. Here is our monthly sales report with customer names removed: «text». Summarise it for the owner in 5 points, then suggest 3 decisions, in plain Arabic with no jargon.
  • Weak: Translate this.
  • Strong: You are a business translator. Translate this customer service reply into English for a customer who does not speak Arabic. Keep it polite and keep order number «…» and all amounts unchanged: «reply».

One golden rule before you paste anything: never put real personal data about customers or staff into a public AI tool. Write «Customer A» and add the real name yourself afterwards; the last section explains why.

Sales, follow-ups and collections: 10 prompts that bring money in

AI saves your sales team the first draft of a follow-up, objection reply or payment reminder; a person checks and sends it. Prices, promises and deadlines stay human decisions.

Sales and follow-ups:

  • Quote with no reply: You are a Saudi salesperson. Quote «number» went to «client type» «days» days ago with no reply. Write a short, polite Arabic WhatsApp message asking for feedback and offering a call on «day and time».
  • Meeting summary: Turn these meeting notes, names removed, into a 5-point summary, next steps with an owner for each, and a formal Arabic follow-up email to the client: «notes».
  • Price objection: The client says we are «percent» dearer than «competitor». Give 3 polite Arabic replies of two sentences each, built on «our real advantage», without running down the competitor.
  • First contact: Write an Arabic email of 80 words or fewer to a procurement manager in the «sector» sector in «city», introducing «product or service» and ending with one easy question.
  • Cross-sell: Write an Arabic message to customers who bought «product A» «period» ago, suggesting the complementary «product B» and «offer, if any», helpful and never pushy.

Collections from late payers:

  • First reminder: You are a receivables officer at a Saudi company. Write a polite Arabic email about invoice «number», due «date», for SAR «amount», assuming good faith and listing «payment methods» and a contact.
  • Second reminder: «days» days have passed since the first reminder with no reply. Write a firmer Arabic message, with no threats, asking for a firm payment date within «days» days and offering a call to settle any dispute.
  • Call script: Write a short Arabic collections call script for our accountant with answers to three excuses: I will pay next week, we never got the invoice, the manager is away. Each answer ends with a specific date.
  • Instalment plan: A customer owes SAR «amount» and asks to pay in instalments. Propose «number» payments with clear dates, and write an Arabic message offering the plan on condition the dates are kept.
  • Final notice: Write a polite but firm Arabic notice that we will stop «credit sales or supply» from «date» unless SAR «amount» is paid, with no legal threats. Then tell me when I should consult a lawyer.

Marketing in Saudi dialect and customer service: 10 prompts

AI tools can write in Saudi white dialect, Najdi or Hijazi if you name the dialect and describe your audience, but quality varies, so a Saudi speaker should review every text before it goes out. In customer service, ask for drafts your staff edit, never replies sent automatically.

Marketing, including ads in Saudi dialect:

  • Video ad: You are a Saudi copywriter. Write 5 scripts for 15-second Snapchat or TikTok ads for «product», aimed at «audience» in «city», in Saudi white dialect, each with a strong hook and one call to buy.
  • Product page: Describe «product» for my online store in simple Modern Standard Arabic, then English, 60 words each, using «keywords» and stating «size, material, warranty», with no exaggeration.
  • Occasion campaign: Suggest 3 campaign ideas for «Founding Day, National Day or Ramadan» for a «business type», each with a headline, two posts and an offer, respectful of the occasion and with no claims we cannot prove.
  • Dialect test: Rewrite this ad in Najdi, Hijazi and Saudi white dialect, keeping the same meaning and offer, so I can A/B test the three: «ad text».
  • Subject lines: Write 10 Arabic email subject lines of under 45 characters about «offer» for «business type» customers, each with a short preview text and no hype words.

Customer service:

  • Late order: You are an understanding Saudi support agent. Order «number» is «days» days late. Write an Arabic reply that apologises without over-explaining, states «reason», and offers «solution or compensation» and a follow-up date.
  • Review reply: Write a short public Arabic reply to this negative Google Maps review, with the reviewer's name removed: «review». Thank them, own the problem and invite them to «channel», revealing nothing private.
  • FAQ builder: Here are 20 customer questions, names removed: «questions». Group them into 8 FAQs with short Arabic answers, and list the questions that need a written policy from us.
  • Returns policy: Turn this returns policy into 5 points a customer understands on first reading, then write an Arabic reply for someone asking to return an item after the deadline: «policy».
  • WhatsApp version: Turn this long reply into a friendly Arabic WhatsApp message of 3 lines or fewer, with one clear next step for the customer: «reply».

Saudization-aware hiring, VAT and e-invoice checks: 10 prompts

In HR and finance, use AI to draft and run first-pass checks, then confirm with the official source; a chat tool is neither your tax adviser nor your lawyer.

For hiring, note that since 19 April 2026 marketing and sales professions carry a 60% Saudization rate in private-sector establishments with 3 or more workers in those roles, under two decisions of the Ministry of Human Resources and Social Development.

HR: job ads and Saudization-aware hiring:

  • Job ad: Write a job ad for «job title» in «city» in Arabic, then English: duties, qualifications, «benefits». Per Article 3 of the Labor Law, set no condition based on gender, age, disability or any other form of discrimination. Make it appeal to Saudi talent.
  • Saudization guide: Turn this ministry procedural guide for «profession», copied from its website, into a checklist for our HR officer, adding no rate that is not in the text: «text».
  • Interview invitation: Write a warm, professional Arabic invitation to interview for «job title» on «date» at «place or link», listing documents to bring and how to confirm.
  • Interview questions: Suggest 8 questions for «job title» that test practical skill, each with a 1-to-5 scoring guide, and none about age, marital status or other personal matters unrelated to the job.
  • Rejection: Write a kind Arabic message to an unsuccessful candidate for «job title», thanking them and inviting future applications, with no reason that could read as discrimination.

Finance: VAT and e-invoice sanity checks, not tax advice:

  • VAT maths: Here are invoice lines without customer names: «amount before VAT, VAT, total». Check that VAT is 15% on standard-rated lines and show any differences in a table.
  • VAT number: Check these company VAT registration numbers: «numbers». Flag any without 15 digits or not starting and ending with 3. Do not guess the correct number.
  • Invoice type: For these transactions, names removed: «description», give a first-pass view of whether each needs a tax invoice (B2B) or a simplified tax invoice (B2C) for my accountant to confirm, and list unclear cases as questions.
  • QR check: Write a cashier checklist confirming that the scanned QR code on a simplified invoice shows the seller's name and VAT number, invoice date and time, VAT amount and total including VAT.
  • Reconciliation: POS sales for «month» were SAR «amount 1», but our VAT report shows SAR «amount 2». List the 5 likeliest reasons as questions for my accountant.

PDPL rules for AI, and 5 things AI already does inside Odoo 20

Never paste real personal data about customers or staff into a public AI tool; anonymise it first. Saudi Arabia's Personal Data Protection Law (PDPL), supervised by the Saudi Data and AI Authority (SDAIA), has been in force since 14 September 2023, and the grace period to comply ended on 14 September 2024.

  • Personal data is anything that identifies a person or makes that possible, such as names, ID numbers, addresses and contact numbers; deleting the name alone may not be enough.
  • Official ID documents may not be photographed or copied unless a law or a competent public body requires it, so never upload ID or Iqama images.
  • Transfers outside the Kingdom must fit the purposes and conditions of Article 29 of the law and its regulations, so know where your tool processes data.
  • A violation can draw a fine of up to SAR 5 million, which can be doubled for repeat offences.
  • To anonymise: write «Customer A», delete ID, mobile, IBAN and address details, and fill in the placeholders inside your own system after generating.

SDAIA's national data governance platform takes breach notifications and complaints. AI built into your system saves copy-pasting, but Odoo AI requests still go through Odoo's IAP service on Odoo's servers, so the same rules apply. Odoo's 20.0 docs and release notes list these 5 tasks on Odoo Enterprise:

  • Write and improve text in Description and Notes fields, emails and Knowledge articles.
  • Run AI prompts in email templates, evaluated per record at sending, such as follow-ups matched to the opportunity stage.
  • A Live Chat agent answers common questions and, when a visitor asks for custom pricing or a demo, collects contact details and creates a lead for human follow-up.
  • Helpdesk detects similar tickets and suggests answers to your team.
  • The AI assistant gives insights into your finances based solely on the accounting data in your database, and agents create records from an uploaded PDF of instructions.

Every AI feature consumes IAP credits, and Odoo's documentation says installing the AI app on the Standard plan automatically triggers an upsell to the Custom plan. More in our Odoo 20 AI agents guide and the Odoo 20 overview.

Your next step: using AI in a small business starts small, so pick 3 prompts from this list and try them this week with anonymised data. Then take the Odoo 20 readiness check; METCH, an official Odoo partner, can set up Odoo's AI features and train your team.

Frequently asked questions

Can I paste customer data into ChatGPT in Saudi Arabia?

The safe answer is no, not until you anonymise it. Under the Personal Data Protection Law, supervised by SDAIA and in force since 14 September 2023, names, ID numbers, addresses and contact numbers are personal data, and transfers outside the Kingdom must meet the conditions of Article 29 of the law and its regulations. Use placeholders such as «Customer A», never upload ID or Iqama images, and add the real details inside your own system after the AI drafts the text.

Which AI tool should I use for Arabic and Saudi dialect?

There is no permanent answer, because ChatGPT, Gemini, Claude and Copilot change their models, features and prices often. Run the same three prompts from this list in two tools with anonymised material and compare the results. Name the dialect you want, such as Saudi white dialect, Najdi or Hijazi, give a sample of the tone, have a Saudi speaker review anything customers will see, and compare each tool's data settings too.

Can these prompts replace my accountant or tax adviser?

No. The finance prompts are first-pass checks that catch obvious errors, such as VAT that is not 15% on a standard-rated line or a VAT registration number that does not have 15 digits starting and ending with 3. They do not decide how a transaction is taxed or how your Fatoora integration should work. Treat every flag as a question for your accountant, and check ZATCA's current rules before you act.

Do I pay extra to use AI inside Odoo 20?

Yes. Odoo's release notes say all AI features now need IAP credits, and its documentation says installing the AI app on the Standard plan automatically triggers an upsell to the Custom plan. Odoo says credit use varies with the feature, the task and the size of each request, so start with one use case, such as AI prompts in your follow-up email templates, and track credit use for a few weeks before you budget in riyals.
